25% Mail Quote Remaining - Outlook issue

    ... back-up and re-install may fix that, after trying any patch fixer de-bugs that microsoft might have for it.
    keeping in mind it sounds like a corporate version so will be admin protected and probably needs IT to perform the function
    yet another bad mark against IT

    very 1st thing IT should have answered with is Wegs Server email data cache limit, then running clean-up remotely, then re-setting admin level alerts.
    then isolating the alert from the server outlook version to check the outlook server version update is the same as the user station version.
    then re-install the user version.
    then pass it up to a network engineer to track n trace

    all should be possible within about 30 minutes
    resulting in an email to all IT with a short check list to go through saving massive amounts of time in future for the many hundreds of other staff which will have such problems most likely around close to server update time scales resulting in massive over loading of Tech help IT services unnecessarily

    An update - IT is going to have to remove the emails off of the company server. The warning messages are coming in less, though.

    Just keep deleting the trash files that I don't need, and it goes away for a short time. I'm still able to use Outlook without a problem, though. 'Tis a mystery.

    According to the message, I'm always at "5% mail quota remaining.''

    But, it obviously isn't the case because I'm still receiving emails and able to send.

    sounds like your profile has been flagged

    probably because your profile is older than the average last upgrade set rules

    IT people do not enjoy trying to educate non IT people on complex IT issues
    more soo when most just want the issue fixed rather than explained.
    though.. the few that also want it explained rarely have the comprehension to grasp the information and are in reality asking who is to blame.

    because it would have been a system upgrade which dictates limit sizes for users on the network
    which.. has limit warnings
    unrelated to the warning but probably why the new limit warning was put on.
    left hand not telling the right hand what it is doing.
    warning frequency changed instead of removing the warning.
    probably because your profile is on a list of profiles which all must have data storage limits enforced on them and thus warnings are mandatory.

    i did realise when i asked this question you probably didnt know the answer.
    i had hoped you might make the effort to figure that out which would in turn make it easier for you to understand the bigger picture[keeping in mind you would probably need to have a bit of IT basic to figure that out or find the right person to get the information from)

    anywho...
    the company wanted to save money and wipe a lot of peoples stupid stored data
    forcing data limits enforced...
    warnings activated
    people not told
    incomplete compatibility set up between server data base and user email access privileges...

    it all looks fairly obvious and straight forward.

    Does the "message" always pop-up when you send e-mails ?

    Does the "message" only pop-up when you send e-mails with attachments?

    Does the "message" only pop-up when you send e-mails without attachments?

    Sorry, that was a typo. 25% is correct. I've been deleting my trash files to add more space. There was a company-wide alert about this recently, and for a short time, it stopped. But, the messages have been returning now.

    The messages pop up randomly, but I do send emails often with attachments. It's just annoying at this point, but looks like I'll have to live with it.

    Wegs, I am trying to pin down the "randomly"...attachments(and the size of those attachments) can sometimes cause issues like you describe.
    Do you or the Company use any Virus or Malware programs to monitor Incoming or Outgoing e-mails?

    By 'randomly,' I mean that I haven't observed an actual ah-ha moment in time, that I could figure out why this is happening. So, these instances are random, to me.

    Yes, they use virus protection software.

    Update -

    Sooo, this morning, I find out that my inbox is completely full and can't receive any new email. So, I deleted several messages and files out of my inbox, like old ones that I hope I don't ever need to look at again, and that solved the problem. No one in IT can figure this out.

    What's weird is that I didn't receive any new warning messages (past the 25% usual warning messages) to alert me that I was that over the limit.

    what is to figure out ?
    your data limit is full

    the company have rolled out a data limit on all outlook clients.

    have you asked them to increase your outlook data limit ?

    how many saved emails do you have ? & roughly how much data are they taking up ?

    save your emails to a folder on your C drive and archive them

    problem solved

    Yea, I know...but I keep deleting files/emails every day to free up space...so it's surprising that I ran out of space.

    not if they decided to invoke a limit and then play dumb after sending out an email limit notice.

    this is basic T1 Help Desk stuff.
    it should be referred to a network engineer(by the T1 or to the T2 who then refers it) to check the limits, share sizes & correct limit profile listings then reported back to the T1/T2 who should round out the event by informing you of the limit size, where you can save to for archiving emails as the company procedure and then offer to tweak your warning levels.
    assuming you know how to move files around.

    if the warning message comes up again after you have met the new imposed limit sizes, then it is a server user incompatibility of alert messages false reading against inbox sizes
    seen it before.
    that too is easily fixed by the network engineer or a T2.
    inside the settings for the outlook server host operating system that is controlling the outlook clients for each user.
    such network conflicts are common place and should mostly be solved fairly easily or at worst have a work around script written after a couple of weeks by a network engineer.

    i feel for ya
    this kinda thing would drive me crazy.
    however i would strip out all my emails and achieve them after a 2nd failed result from IT.
    you cant allow it to effect your productivity or risk losing emails.

    server update(probably someone working on the server)
    someone is messing with the server limits to users

    ask IT to remove the mail box limits on your user profile for outlook and as a network user
    im sure they will say yes but wont want to do it
    be sure they remove the optional add on "mail limit warning notices"

    ask them 3 questions
    1 how much data storage do i get allocated for my user profile & for my outlook mail box ?(2 figures required for the answer)
    2 how much data storage am i currently using ?
    3 what are the storage limit warnings set to notify at ?

    write down those 3 questions on post it notes and stick them to your screen
    when they give you an answer write the answer down and post that post-it note to the screen.

    simple
    no circus or drama required
